Product Rules and Setup Guide


Rules allow you to manage product ordering controls using minimum and maximum quantities, rounding parameters, availability dates/days, and contact restrictions. Rules apply to both Sales Orders and Work Orders.

Step 1: Create or Edit a Rule


1 . Create or Select a Rule:

Choose to edit an existing rule or click Add to create a new one.

2. Name the Rule:

Rename the default system name to something descriptive for easier management.

  • General Sales: "Default Sales Rule"

  • Restricted Contacts: "ABC Group"

  • Product Types: "Bakery"

  • Schedule Constraints: "Mon/Wed/Fri"


3. Define Rule Parameters:

Configure the core settings based on your order type:

  • Type:

    • Sales Orders: Orders supplied by this location to contacts listed in the Network tab.

    • Work Orders: Internal orders generated exclusively for this location.


  • Contact Scope: (Required for Sales Orders)

    • By Selection: Click Add Contacts to filter by specific Groups or Labels.

    • Include all contacts in this scope: Applies the rule to every contact supplied by this location.

    • By Label: Select contacts based on Network tab labels.


Step 2: Add Products to the Rule


1. Filter the Catalog:

Select the target Catalog and Category.

Tip: Focus on one category at a time. If you use custom groups within categories, use the Groups drop-down to refine your view.


2. Select Products:

Uncheck Active Products if you need to include inactive items. Check individual items or use Select All, then click Select Products.

Note: If you navigate to set rules directly from a new product overview and the page appears blank, click the Rules tab at the top to load your existing rules.


Step 3: Configure Rule Details & Constraints


Apply your specific ordering conditions across the selected products:

  • Availability Dates & Days:

    • Start / End Dates: Set date ranges for seasonal or temporary availability.

    • Days Available: All days are enabled by default. Uncheck All Days to select specific ordering days, or uncheck all days entirely to blackout an item.


  • Quantities & Rounding:

    • Minimum Quantity: Smallest allowable order size (no need to enter 0 or 1).

    • Maximum Quantity: Largest allowable order size. (Min/Max limits apply after rounding rules).

    • Round Quantity: The step increment items should round to.

    • Rounding Direction: Choose Up, Down, or Closest.

  • Clone Settings: Use Clone to instantly copy configured rule attributes from a source product to other items in the list.

Click Save Changes when complete.

Verification: Re-open the rule or check a contact's ordering portal to verify that quantity limits and available days appear as expected.


Pro Tips

  • Contact Restrictions: Use blackout rules on select items to hide them from everyone except authorized contact groups.

  • Avoid Zero-Quantity Errors: When using Down or Closest rounding, always set a Minimum Quantity to prevent orders from rounding down to 0.

  • Forecasting Best Practice: Use Closest rounding if your location utilizes automated forecasting.

  • Reactivating Items: When reactivating inactive products, remember to update their assigned Rules so they can be ordered.
