Order template guide


Your order template is what Supplyit uses to create daily orders. In your order template, you can select the products and the amount of each product that you would like on each day of the week. You can also set start and end dates for products as well as specifics for forecasting orders.


Note: If you have forecasting turned on, your orders will not be the same as your order template. Instead of the amounts on your order template, your daily orders will be based on forecasting details and history.


Before getting started

  • If you normally use the Workflows Navigation Menu, click ‘Activities’ under the menu on the left-hand side of the screen



Warning: The order template page has two scroll bars. The scroll bar on the right-hand side of the page is used to move up and down in the template. The scroll bar at the bottom of the page is used to move left and right in the template.


Selecting the template to edit

  1. In the Activities Navigation Menu, click Orders and then click the Templates tab

  2. At the top of the screen, choose the type of template that you want to edit

    • Purchase: for buying products from a kitchen

    • Sales: for making products for other stores or customers

    • Work: for making products in your own store

  3. Click Edit to the right of the template that you need to make changes to


Entering amounts

  1. Above the order template in the Scroll to: menu, click Quantities 

  2. Scroll down to find the product that you want to edit

  3. Click into the box for the day of the week that you want to edit

  4. Type the amount that you would like to order or make

  5. Click the Save Changes button


Tip: To enter quantities for the whole week, you can click in the Sunday column, enter the number, and use the tab key to move to the next column.


Entering dates

  1. Above the order template in the Scroll to: menu, click Dates

  2. Scroll down to find the product that you want to edit

  3. In the Start Date column, use the calendar to choose the first date that you want the product to be on orders 

  4. In the End Date column, use the calendar to choose the last date that you want the product to be on orders

  5. Click the Save Changes button


Warning: Only enter a date in the End Date column if you want the item to STOP being on orders after that date.


Note: Start and End Dates set by the kitchen will override any dates that you enter in your purchase order template. For example, if you enter a start date of the 1st for a product, but the kitchen enters a start date of the 5th, then you will not be able to get the product until the 5th. If you set an end date of the 31st for a product, but the kitchen enters an end date of the 25th, then you will not be able to get the product after the 25th.


Entering forecasting details

  1. Above the order template in the Scroll to: menu, click Forecasting

  2. Scroll down to find the product that you want to edit

  3. To turn on forecasting, check the box next to Standard in the forecasting column

  4. To set forecasting details, enter the Waste Factor (as a percentage) or the Waste Minimum (as the number of pieces), which is the additional amount of product that you intend to waste

  5. Click the Save Changes button


Warning: Some Supplyit accounts use advanced forecasting. Those order templates will show an option to select Sales or Standard from a drop-down menu in the Forecasting Column. When Sales forecasting is selected, a Day Span section will show to the right of the Waste Minimum column.

Copying information from one product to another

  1. In the column to the left of the product names, check the box of the product that you want to copy quantities, start dates, end dates and/or forecasting details from. Then check the boxes of all the products that you want to copy the product information to.

  2. In the menu above the order template, click Clone

  1. For your Source, use the drop-down menu to select the product that you want to copy information from 

  2. Check the boxes for the information that you want to copy to all the other products

  3. Click the Clone Using Selected Source button. You should see that those products now have the product information that you copied to them.

  4. Click the Save Changes button


Tip: The edits you make to your order template will only change new orders. To update all of your open orders with the changes you made to your order template, you must click the Apply to Open Orders link.
